Start with least privilege

Grant each person the minimum access they need to do their job. Role-based access control lets you define roles once — Viewer, Editor, Admin — and apply them consistently instead of managing permissions file by file.

Share with intent

External sharing should always be deliberate: use expiring links for time-bound collaboration, set view-only when editing is not required, and revoke access the moment a project ends.

Understand encryption in transit and at rest

Encryption protects documents in two states: while they travel over the network (in transit) and while they sit in storage (at rest). FileCare uses TLS 1.3 for data in transit and AES-256 for data at rest, so files are unreadable to anyone without authorized access.

Keep a recovery path

Human error is inevitable. A recycle bin with a 30-day retention window turns accidental deletion from a disaster into a two-click recovery.

Make security reviews routine

Once a quarter, review who has access to what, remove stale shares, and confirm offboarded accounts no longer hold permissions. Small, regular checks prevent large, painful audits later.

Manage your documents with FileCare

Put these ideas into practice with a secure workspace for storing, organizing, converting, and scanning every document your team touches.
